Position Overview

Ledgent Finance & Accounting is currently seeking an experienced Accounts Payable Supervisor to join a dynamic team. The Senior Accounts Payable Supervisor is responsible for leading the overall AP function with a focus on process optimization, controls, and timely, accurate payment execution. While not directly managing staff, this role provides functional oversight and guidance to a team of approximately 12 AP clerks, ensuring productivity, consistency, and compliance with established procedures. This position requires deep expertise in AP aging, workflow design, and multi-entity environments.

Key Responsibilities

  • Provide functional oversight and leadership to a team of clerks, ensuring accuracy, efficiency, and adherence to policies and deadlines (no direct reports).
  • Serve as the subject matter expert on AP aging, proactively monitoring, analyzing, and resolving outstanding balances, and driving continuous improvement in aging metrics.
  • Analyze existing workflows and design, implement, and document scalable AP processes and procedures, ensuring strong internal controls and audit readiness.
  • Oversee high-volume invoice coding, payment processing, and expense management across multiple entities and vendor groups.
  • Ensure timely, accurate processing of invoices and payments, maintaining compliance with departmental policies and company standards.
  • Manage accounts payable operations across multiple entities, ensuring proper allocation, coding, and intercompany considerations.
  • Utilize accounting systems (including QuickBooks) and other tools to optimize AP processes, reporting, and automation opportunities.
  • Perform and oversee account reconciliations, ledger maintenance, and transaction accuracy.
  • Collaborate cross-functionally to resolve discrepancies and improve upstream/downstream processes impacting AP.
  • Establish and maintain strong vendor relationships, including onboarding new vendors and managing communication regarding payments and discrepancies.
  • Oversee utility account setup and maintenance across property portfolios or business units.
  • Develop and maintain AP reporting and metrics, including aging reports, payment cycle trends, and process performance indicators.
  • Ensure proper documentation, retention, and organization of AP records, files, and audit support materials.
  • Identify risks and implement controls to ensure compliance with accounting standards and company policies.
  • Support broader Accounting team initiatives and drive continuous improvement projects within AP.

Qualifications

  • 5+ years of progressive Accounts Payable experience, including senior-level or lead responsibilities.
  • Strong expertise in AP aging management and analysis (critical requirement).
  • Proven experience developing and implementing AP processes and procedures.
  • Experience working in multi-entity environments.
  • Demonstrated ability to lead and influence teams without direct authority.
  • Proficiency in QuickBooks and Excel.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication skills with the ability to interact with vendors and internal stakeholders.
  • High attention to detail with a focus on accuracy and deadlines.

Additional Details

Salary Range: $75,000 - $90,000 per year
